The operating system

One source of approved answers, several commercial conversations.

We propose a controlled evidence register: each material answer links to a policy, control owner, document version, review date and any sharing restrictions. When another customer asks a comparable question, the team can locate the relevant evidence and check whether the response remains accurate before it is reused.

The objective is not to fill in questionnaires automatically and hope for the best. A misleading security statement can damage trust and create contractual exposure. AI can assist with matching questions to existing evidence, but approved human owners review important representations and exceptions.

  • Triage security questionnaires by deadline, sensitivity and scope
  • Map questions to evidenced and reviewed answer records
  • Route unsupported claims to the correct technical or governance owner
  • Track approvals, expiry dates, commitments and disclosure restrictions
  • Maintain a client-owned reusable register for the next review

A bounded service

Acknowledge quickly. Set the response time by complexity.

A ten-question renewal form and a detailed 300-question enterprise diligence package do not require the same effort. Any monthly package needs a clear allowance, acknowledgement target, complexity bands, approval SLA dependencies and rules for out-of-scope work.

We distinguish receipt of the enquiry from completion of the questionnaire. A working-day response target can be agreed; a completed response depends on access to evidence, client approvals and whether new assessments are required.

  • Agree monthly questionnaire throughput and escalation rules
  • Classify work as routine, extended or bespoke risk assessment
  • Do not share confidential documents without authorised approval
  • Record exceptions and commitments as actions, not casual promises

Beyond questionnaires

What happens when the same evidence is needed for renewal, insurers and suppliers?

A strong assurance process can serve enterprise sales, insurance renewals and periodic supplier assessments, provided each audience receives only information it is authorised to see. A single control may support several frameworks, but the mapping must be accurate for the particular scope and standard.

This can sit alongside an existing IT team and ISMS operator. We do not claim that holding ISO 27001 automatically satisfies every question from every enterprise buyer, or that SOC 2, Cyber Essentials and ISO 27001 are interchangeable.

  • Contract renewal assurance packs
  • Evidence expiry and certification timetable
  • Supplier review decision register
  • Management reporting about customer assurance workload

Commercial use case

Bring sales, security and governance onto the same page.

Commercial colleagues need to know who owns the next response and whether a blocker is serious. Security teams need to know when an answer would overstate a control. Management needs visibility into contractual promises, exceptions and customer-facing risks.

A simple assurance dashboard can surface all three without requiring every department to read a dense spreadsheet. We recommend using the existing systems your company already trusts and migrating nothing unnecessarily.

Worked buyer request

How a 120-question security questionnaire should flow.

Imagine an enterprise prospect sends 120 security questions with a five-day deadline. The desk first separates reusable factual questions from sensitive or unresolved assertions, rather than trying to auto-complete everything in one pass. Each question is assigned an owner and evidence reference before approval.

The following illustration shows the workflow; the quantity and dates are examples, not a turnaround promise. A final service agreement must set its own volume allowance, owner availability and buyer escalation arrangements.

A stronger operating KPI

Measure verified response quality, not just questionnaire speed.

Useful measures include the percentage of answers backed by an approved record, unanswered requests awaiting a named owner, documents approaching expiry, average turnaround by complexity and material customer commitments entered into the action register.

Fast unsupported answers can create worse problems than slower evidence-led ones. Capacity should be priced around the expected number of questions, sensitive exceptions and approvals—not the number of questionnaires alone.
